Deciding Your Wedding Guest Count: 8 Things to Consider

As you plan your wedding, you have a lot to determine. From the venue, to the music, to the cake flavor (yum!), every detail matters. One particular factor though—deciding your wedding guest count—can affect many of the other details of your wedding. Though it can seem overwhelming, know that every single couple planning a wedding has gone through the same stresses you are now! And, if you don’t know where to start, these factors to consider can help you narrow down your final guest list.

Travel

It sure would be nice if all the important people in our liveslived just down the road. Unfortunately, that’s not always the case.

Some folks may need to travel a long way—and that option may not be in their budget or schedule. Alternatively, if you hold a destination wedding, your entire guest list will likely have to make the trip—which can automatically eliminate a lot of potential attendees. Considering who is likely to travel and who is not can help you narrow down your list.

Your Preferred Venue’s Maximum Guest Count

Each wedding venue you look at can only host so many people! For example, at Crooked Oaks, we can accommodate up to 250 people.

So, your choice of setting may end up determining your guest list too.

Budget

As a guest, you may take for granted all of the things you experience at a wedding. However, the lucky couple will have to factor in an array of different costs per guest. These purchases, both big and small, can really add up.

Haven’t gotten to that part of the planning yet?

Here are just a few of the items that you will have to buy per guest—and per plus one if you’re allowing that:

  • Chair rentals
  • Table settings
  • Alcohol and other beverages
  • Favors, like custom tea candles or swag bags
  • Catering
  • And more.

Stressing over cost? We include some spectacular options in our wedding packages, so that you don’t have to pay extra for them elsewhere.

Atmosphere

When it comes to deciding your wedding guest count, the atmosphere matters. Maybe you like more intimate gatherings. Or, you just can’t wait for a big party. Let the vibe guide your guest list!

Theme

Some weddings sport simple themes, like a palette of colors. Others go big and bold. If you plan to have a specific theme, you may need to tailor your guest list to match, so that everyone you invite will be comfortable.

Not to mention, more lavish or detailed themes may require a larger part of your budget. You’ll likely have to adjust your guest list accordingly!

Required Invitees

You can’t forget Grandma! Each happy couple has a group of people who must be invited to the wedding, at all costs.

Do yourselves a favor, and make a list of those V.I.P.s. Then, you’ll have your minimum headcount—and the beginnings of your guest list—handy.

Your Wedding Party Count

Don’t worry—there’s no hard rule connecting the amount of people in your wedding party to your guest count. However, if you think it’s important to pair a larger wedding party with a larger guest count, consider that during your planning.

Your Stress Level

It’s supposed to be one of the best days of your life! You shouldn’t have to spend your wedding stressing. If you need a more intimate ceremony, then you may want to pare down your guest list.

On the other hand, if you thrive with big crowds—and all other factors allow it—plan for that big wedding you’ve always wanted!
